Introduction

Academic Institutions value the quality of the teaching. It is very important to encourage the faculty members to understand the concept of effective teaching, to use those approaches, to develop new approaches of teaching, to use innovative develop and learning methodology and to implement leading edge technology in the classroom where appropriate.

Faculty evaluation will help the administrators and as well as the teachers themselves to identify and to support effective teaching and provide the state college community with information about student perception of the quality of instruction.

PROJECT CONTEXT

The departments of every academic institution used to have a process of manual evaluation system. The research coordinators manage/conduct the manual system and the other staffs of research and development office are the one who compute the results of evaluation. During the process, it takes time to do all paper works and get the validity of results. There are also some instances that some documents are being misplaced and lack of security.

The Mobile Based (Android, IOS) Faculty Evaluation with Online Admin Panel will improve the current system of the organization. The documents will be encrypted and users can gain knowledge using android phones. The works will be much more accurate and reliable because of the new system that we proposed.

PURPOSE AND DESCRIPTION

The purpose of the study is to develop, evaluate and implement the proposed system that will help the organization in providing a system thru developing Mobile Based (Android, IOS) Faculty Evaluation with Online Admin Panel. The project presents a new aspect of developing the study including on the different criteria of evaluating teachers. Through android phones it can make the school effective and efficient in terms of technology.

OBJECTIVES

GENERAL OBJECTIVES

The main objective of this study is to design and develop a Mobile Based (Android, IOS) Faculty Evaluation with Online Admin Panel that will replace the manual process of evaluation for academic institutions.

SPECIFIC OBJECTIVES

The aim of the study is to design and develop Mobile Based (Android, IOS) Faculty Evaluation with Online Admin Panel to:

  • To create a centralized record of faculty evaluation results
  • To convert the paper based evaluation into an information system that can be accessed by mobile phones.
  • To provide an accurate and reliable reports

SIGNIFICANCE OF THE STUDY

Departments and Colleges: It’s easy for them to manage the evaluation by using our system.  Evaluation can, and should, however, be used as an ongoing management and learning tool to improve an organization’s effectiveness. Well-run organizations and effective programs are those that can demonstrate the achievement of results. Results are derived from good management. Good management is based on good decision making. Good decision making depends on good information. Good information requires good data and careful analysis of the data. These are all critical elements of evaluation.

THE RESEARCHERS: Allows the researchers to have opportunity of constructing a Mobile Based (Android, IOS) Faculty Evaluation with Online Admin Panel for academic institution. It helps the researcher enhance their skills through Android, java programming and web design and development.

FUTURE RESEARCHERS: This study can be further enhance by future researchers and developers that will conduct the same type of study that implements a mobile application with web admin panel.

System Flow:

Before the students can evaluate the teachers, he/she needs to install the application. During the log in process, respondents will use their Id No. to access on this system. We used XAMPP Server to provide a support for creating and manipulating database and to provide a connection to the server and mobile device. The Programming languages that we use are, HTML 5, PHP and JavaScript. We use the Cascading Style Sheet (CSS) styling and designing for our system.

The Process of this Evaluation System allows the respondents to log in and choose a category in evaluating a teacher. The respondents can also identify the course and the name of the teachers they want to evaluate.

Tourism Information Kiosk is a solution to use as information points in public areas or business premises. It can effectively help visitors to the area to get a better idea of their location and direct them to various points of interest in the surrounding area. It can accommodate the travel needs of both local and international tourists to ensure quick, round-the-clock information about local business services, accommodations and places of interest.

It will also help to stand out and work as a marketing tool as well as a source for information. This kiosk provides a bright, clear, concise and up-to-date information and quick response application.

The kiosk will be installed on bus terminals, airports and seaports so that upon arrival of the guests, they can look for possible interesting destinations.

The said project has also a mobile based support in which the users or visitors can download the app and install it on their smart phone.

Project Context

When you arrive at your destination, you want to know information about the local attraction, historical sites and activities or events that are happening over the whole month at your destination, clubs and other venues. Usually this information is available in hotel foyers and holiday park receptions and at camping and caravan parks in the form of racks of leaflets and notice boards. However there is a more efficient way of presenting this information, which offers up to date information – The Tourism Information Kiosks.

Tourism Information Kiosk with Mobile App Support will greatly help to guide tourist and other people to have precise information about the City like the directions of different areas and locations of the factual sites. The Tourism Department will potentially benefited this system to control every activities happened in order to generate a sustainable competitive advantage. It will drive a new paradigm into the traditional environment of tourists and they are supposed to react with structural flexibility to the new tourist space that is more and more becoming a network of interactions.

Tourism Information Kiosk with Mobile App Support will provides descriptive information in order to have ideas about the City. It will engage new people to visit and discover famous landmarks even man-made products within the territory.

Objectives

The general objective of Tourism Information Kiosk with Mobile App Support is to have an efficient way to the public of presenting useful information, which offers up to date information as well as multimedia functionality. The research proposal had the following specific objectives:

  • To provide access to the City information, local area information, historical sites, information on events, facilities, community and more
  • To guide the tourist of the different attractions and convenient place in the city.
  • To improve their way in encouraging tourists and the growth rate services sector of City Tourism

Implementation and Maintenance

This phase is the final stage of the Tourism Information Kiosk with Mobile App Support System’s System Development Life Cycle process. The system implementation means bringing all together the desired features and functionalities of the system to the end users. Among the four (4) types of maintenance, the researchers use the preventive maintenance in which the maintenance of the system is performed daily, the administrator will always update the system on a daily basis to prevent from system failure in case of multiple error occurrence. The administrator will also update the system by gathering and posting announcements which includes current and upcoming events, recent pictures and other news that draws cooperation among the visitors.

Conceptual Framework

A conceptual framework represents the researcher’s synthesis of literature on how to explain a phenomenon. It maps out the actions required in the course of the study given his previous knowledge of other researchers’ point of view and his observations on the subject of research.

In this study the researchers will use IPO Model or input-process-output pattern, is a widely used approach in systems analysis and software engineering for describing the structure of an information processing program or other process.

This will serve as guide in order to materialize the study. We will use PHP, MySQL and Bootstrap for the development of the online expert system. In this concept framework are the methods on how the application will be develop. The concepts will provide as an instruction to the developers on how the development process will be.

In other words, the conceptual framework is the researchers understanding of how the particular variables in his study connect with each other. Thus, it identifies the variables required in the research investigation. It is the researcher’s “map” in pursuing the investigation.

It provides guidance and support decision to prevent errors and effectiveness of services. This system can also provide easy data retrieval, record keeping, a quarterly and annual graphical report of health record report that is needed for decision making and a real time records for the management.

Online/Web-based Information System is an information system that uses internet web technologies to deliver information and services, to users or other information systems. Operationally was used in the system to spread information to the clientele and the management.

This article includes the processes of the software used in the proposed system which includes the discussion and illustration of the Decomposition chart, Data Flow Diagram, and Entity Relationship Diagram.

Requirements Analysis and Documentation

This phase shows the requirements definition needed for the development of the Computer Assisted Instruction for Philippine History and Government. It includes the requirements from the users using the survey questionnaires in order to achieve the recommended features of the Computer Assisted Instruction for Philippine History and Government.

In order to develop Computer Assisted Instruction (CAI), the researchers need to make necessary preparations. Different procedures were made to attain the objective which includes the interviewing of some Social Sciences professors. The researchers ask questions to the professors about the traditional way of teaching. The researchers also made investigation if this way of teaching is effective in motivating the students. Due to this, we established basis to learn its advantages and disadvantages, we also ask the professor about his suggestions and recommendations to this type of teaching. By the help of the review of related literatures, the researcher had gained an overview of what has been studied by previous researchers and writers that gave discernment about the theories, and hypothesis and methodologies.

Through the help of the early research of the topic and online articles; the researchers were able to understand the need to continue the study and the effect of this in handling current problems applicable to this area.

Next the researchers prepared the study materials which include the Documents, Presentations, Modules, Videos, Pictures and other materials from the internet related to the study. Lastly, the requirements of the software needed in running the system.

Under the instructor are the features: The Students’ Registration (shows the students registered in the course subject and their accounts), The Test Results (shows the pre and posttests results of the registered students), The Question Storage (shows the questions created by the instructor based on the lessons), and The Databases Back-Up (database file location). While under the Students are: The Videos (contains videos relating to the course subject), The Lessons (where students view and review lessons of the course subject), the Test Result (where the students can view the score they have prior to the result of their pre-test and/or post-test of each module) and the Change Password (where students can change their account password).

Design Phase

The Information Services (2.0) was designed to facilitate the Forum, Calendar of Events, and Online Help. The Chat (2.1) feature of the system allows users to exchange messages in “real time”. The Forum (2.2) provides a venue for alumni to share ideas, connect to other alumni, and discuss topics that are related to the school or school’s activities. The Calendar of Events (2.3) provides the following: announcement; reminders; schedule of activities; and other important information on alumni activities.

Coding

This phase can be considered as the physical implementation of the system wherein the software design is realized as a set of programs or program unit.

After the researchers already have the design. The next step is the coding phase. The Alumni Information System is a web based system in which it uses PHP scripting language that includes my PHP Admin, my SQL and Apache web server. The researchers uses Wamp as the localhost web server and Joomla as the site manager in which the features was composed of Homepage, Information Board, Event List, Gallery, About us, Contact, Help Page, Chat room, Forum, Alumni List and My Profile.

The system was uploaded into a webhost to make it available over the internet. The researchers bought a domain at mydomain.com, setup Drupal using Fantastico or QuickInstall under cPanel in which it manages the different kind of CMS (content management system) and then log-in to cPanel, search for fantastic or QuickInstall, clicked on Joomla link and selected new Installation and all the necessary information is filled in into the forms.

The back-end of the system includes the Alumni List in which the researchers used My SQL as the database. Sites, Menus, Content, Components, Extensions, Tools and Help page was also included in the back-end of the system. The Article Manager and the User Management under the components was the most valuable because it contains the content of the Information Board, Event List, and the Home page for updating the system while the user management system was the registered user which is in database form which was needed to be enabled and to be approved.

Testing

In this phase, the system had undergone the two testing measures which are the initial and final testing. The system was tested by three IT experts and also the alumni users. This is to measure whether the system met the user requirements and also the functionalities.

Initial Testing

In the initial testing phase, the system’s criteria were based on McCalls software Quality Model to evaluate the quality of the system. The researchers chooses only three IT Programmers to checked the system.

Final Testing

The final testing underwent what we called “USER ACCEPTANCE TESTING” for the end user. This is to test whether the end users are convinced and satisfied to the functionality of the system. The alumni administrators and students evaluated the system based on the validated questionnaire through online testing.  During the testing the user tests the functionality of its menus and features.

Operation and Maintenance

It is the final stage of SDLC process. The system will be maintained and always be updated by the alumni personnel. In four types of maintenance the researchers used the adaptive and perfective maintenance because in adaptive maintenance the system is useful even in the changing environment. Any changes fall in these steps for maintenance purposes. The changes in the system could directly affect the software operations. The software should be developed to accommodate changes that could happen during the post implementation period. The system will be maintained by the system administrator through gathering information from the alumni officer and alumni in order to update new batch of graduates, job opportunities and inform them about the upcoming events especially the homecoming. And the perfective maintenance in which improving of the system takes place for efficient processing.

This is the phase wherein the researchers had converted the description of all the requirements during analysis into logical and then into physical system specifications. In here, the website elements had been designed together with the content elements and the overall layout of the system. After integrating the overall design of system elements such as pictures, font, colors, etc., the researchers had produced a wireframe of the system that was followed prior to the system development.

This diagram shows the decomposition process 3.0 which is System Admin Maintenance. The system administrator is responsible to update the user account and services then, acknowledge all the changes of the user to his/ her own profile or account.

Development   

In this phase, the systems specifications had been turned into a working system. The creation of content summary started the system development, it was then followed by the establishment of content details, creation of detailed content of the system, development of pages and links, development of functionalities and then the content integration, in which the community began to function for the reason that interaction features such as registration, media uploading, posting comments, message exchange, etc., has been build up.

People ware and Job Responsibilities

Project Manager – Supervises and monitors the entire project activities and its development.

System Analyst – Responsible for researching, planning and recommending software and system choices to meet an organization’s business requirements.

Web Programmer – Creates the source codes for the development of system.

Researcher – Further researches on the content and other studies related to current system being develop.

Network Administrator – Maintains and manages the table entries of files; the user accounts; and backup the system.

Initial testing

The researchers used the McCalls Software Quality Model during the initial testing of the developed Social Networking Application. The system was rated according to the following software quality criteria: Audibility, the ease with which conformance to standards can be checked. Accuracy, communication commonality, completeness, consistency, controllability, observability, data commonality, decomposability, error tolerance, execution, efficiency, expandability, generality, hardware independence, instrumentation, operability, security, self-documentation, simplicity, software system independence, traceability and training.

Final Testing     

Final testing of system was done through user acceptance testing evaluation, an evaluation criteria that includes information in the program as to whether information used was clear and concise, if the content was free from spelling and grammatical errors, if the information was based on observe data that are current and valid, if updated information was distributed promptly. Another criteria was user interaction which has the purpose of finding out if the system was well defined, if the system organization was clear, logical and effective, if the language used in the system was clear to intended user, if the user can operate the system independently, if the system acknowledge yes user’s input, if the user can operate the system independently, if the system acknowledges user input, if the system was attracted and interesting and the system achieves its purpose. Then the last criteria was the technical aspects of the software and material that includes the computer capabilities such as graphics, color or sound if it was used appropriately, if the system was reliable, if updates can be loaded easily into the system and if the data provided was secured and confidential.

REVIEW OF RELATED LITERATURE AND STUDIES OF HOTEL RESERVATION SYSTEM

This chapter presents the review of related literature and studies that supports the theories and concepts that are discussed in the study.

RELATED LITERATURE

Here in the Philippines, the biggest hotels are using the same technology. But, in some far flung provinces, some hotels are still using manual reservation system. They use signage and some print advertisements for their marketing; and log books and some paper works to record customers’ data. Hotel reservations systems, commonly known as Online Reservation System is a computerized system that stores and distributes information of a hotel or other lodging facilities. It is an assistant for hoteliers to manage all of their online marketing and sales, where they can upload their rates and availability to be seen by all sales channels that are using an online reservation system. Sales channels may include conventional travel agencies as well as online travel agencies. Hotelier using an online reservation system eases his or her tasks for online distribution, because an ORS does everything to distribute.

Online hotel or resort reservations are becoming a very popular method for booking hotel or resort rooms. Travelers can book rooms from home by using online security to protect their privacy and financial information and by using several online travel agents to compare prices and facilities at different hotels.

Most of the hotels and pension houses are now using an automated booking system which helps them to organized better, easy, secured, effective, fastest way to serve customers; technologies are now very important to our society because it provides us to have more reliable and comfortable life, that can improved people’s techniques, procedures and ideas on how to works automation system.

Booking system refers to the systematic registration of the names and other customers’ information who wanted to check-in and use some facilities and services.  It is the used resource management and booking system for customers and other transactions (source).

Automation of booking system effectiveness is that it helps to the manager, employees and customers to make it more easier and successful one. These are the advantages of automated booking system; first in terms of speed, they can process information much more quickly than humans. This means they are good for controlling machinery that might need to be adjusted instantly. Then secondly is repetition, automated systems can do the same task over and over again without getting bored, needing breaks or making mistakes. Third is accuracy, they can do very detailed work and follow precise instructions without error. Fourth is safety,  automated systems can work in places where it would be unsafe to put a human, for example, in a nuclear power plant, under water or in space. Fifth is efficiency, they get more done than humans but cost less to operate. This is because they do need breaks, wages, holidays, canteens, heating and lighting. The quality of the work done is always of the same standard being materials are not wasted due to human error. Sixth is adaptability, automated systems can be reprogrammed to do different tasks.

RELATED STUDIES

Asupra, (2001), studied an automated system of billing and reservation for “Pearl Manor Pension House” Incorporated. After a careful study by the researchers it has been found out that the employees’ encounters problem with their present system, these problems are:  a. time consuming in processing check-in. b. delayed computation of bills and c. time consuming processing of reservation. After a careful study of the current system of Pearl Manor Pension House, Incorporated, the group came with a conclusion to; automate their system. The automation of the system will give advantages to the company because it will make the computation of bills a lot easier and more accurate. Processing is faster and more convenient for both the user and clients. The results of interviews and research study that was conducted by the researchers lead to form a recommendation of automating the billing and reservation system of the company. The system will be the one responsible to process all the transactions.

Cagalawan, (2003), studied and proposed an online hotel reservation for Bacolod Executive Inn. The findings of the study stressed that some problems exist in their current system namely: a. time delay in updating email reservation processing, b. difficulties in confirmation of the availability of rooms in walk and telephone reservation and c. report generation is time consuming. As the result of investigation and observation to the existing reservation procedures, the group came with a conclusion that the Bacolod Executive Inn particularly the reservation must be developed through an online system for their better service. It will provide advantages in the part of the establishment because it will increase the number of customers, minimize the workload of the personnel and the generation of reports on time, and will provide promotion to the establishment through the website that will highlight the quality of service they offer. After a detailed study, the researcher’s recommendation is based on the accurate and relevant information from the data gathered. The proposed on-line reservation system for the Bacolod Executive Inn provides better service to the customers. The researcher’s recommendation is based on the accurate and relevant information from the data gathered. It could improve its current operation as soon as the proposed systems implementation would take place.

Deog (2007), studied an online catering reservation system of Humprey’s Grill and Restobar. After careful investigation including interviews and actual observation, the researchers found out that the manual operation of the said restobar encountered so many problems more on processing of catering reservation transaction with the customers and delays on the process of request.  Moreover, the management of Humprey’s Grill and Restobar is facing difficulties in their catering reservation system such as the processing the catering reservation transaction. The researchers concluded that the proposed system for Humprey’s Grill and Restobar will be a big help to the management because it provides an efficient and precise processing of catering reservation that makes the work faster. When it comes to the catering reservation transaction, the system will function accurately and come up with its required output facing any difficulties unlike with their manual catering system.  And for this reason, the researchers highly recommended the online catering reservation system which will be easy, faster and efficient to process their catering reservation transaction with the customer.

Bernasol et al.(2007) focus their study on GNQ and Tours (Granor Norna Quidato). They found out that the company encounters problems such as their clients have a hard time in making reservation that’s why they can’t accommodate large number of clients. Based on the analysis of data gathered and observations, the researcher concluded that the current reservation process of GNQ Travel and Tours is less efficient. It requires more time and effort in reserving a ticket. The researchers proposed an online Ticket Reservation to ensure faster and more efficient way of delivering a ticket. With this, the agency can provide better and fast services.

Maridable, (2009), studied an automated reservation and booking system for Jaunts and Journeys Travel Center. The researchers found out that the company is still using a manual system and experiencing a delays in their transactions, processes and operations specifically in the generation and of reports, computation of payment, user authentication, and costing of payments.

SYNTHESIS OF THE ART

Booking system is a systematic registration of information and transactions. It contains the lists of all the records from the customers for future use. It provides permanent evidences and sources of records about the recorded transactions.

Online Reservation System is a computerized system stores and distributes information of a hotel and it assists hoteliers on improving marketing and sales online. In addition, it increases processing of information, repetition important processes and provides accurate results. This system also secures all the transactions for booking which would result to customer’s satisfactions.

Booking and Reservation system refers to the act of registering the names and other information of their customers. Computerization of their booking system helps the manager and employees to complete their tasks effectively.

Finally, it aims to create a system or a program that will help the management of the said hotel to manage all their transactions with ease.

Hotel and Pension houses have many recorded transactions that need to be processed immediately for them to create their reports. As the establishment is improving, the increasing number of transactions recorded sometimes results to problem of data retrieval, delay of processing transactions, and security of keeping the data.  These are some of the instances which show that the manual system used by the management of Hotels and Pension houses brings problems and difficulties to their daily transactions.

GAPS BRIDGED BY THE STUDY

Hotel and Pension houses have been using manual booking system of recording transactions. The researchers used the descriptive method of research to collect information to the respondents about the current booking system. Having a computerized or electronic booking system gives an advantage to the owner of the hotel than to stick to the current manual booking system. It takes too much time to record the customer’s data and other transactions. In manual booking system the security of the records is low. This study aims to provide the staffs, managers and especially the owner of Hotel and Pension houses an effective, fast, and convenient way of recording the (Check-in-Check-out) of the customers in Hotel and Pension houses. This will lead to the improvement of the current system they are using and for the advancement of the establishment. Hotel and Pension houses must have a better and effective system for keeping and retrieving of their records. It will contribute to the success of the business and to gain the trust of their customers.

This study focuses only for the Automation of Booking (Check-In-Check-Out) Record System and Reservation of Hotel and Pension houses. The proposed system emphasizes only on the reservation check-in and check-out procedure of the customer. Persons involved for the implementation of this study are specifically the manager, staff members. It is also concerned to the owner of the pension house for him/her to be well- informed of the proposed system.

Web Based Toll Management System for Bus Terminals

INTRODUCTION

This project on the technology required to support the collection of tools, especially the manual potential toll facilities. Somewhat recently, the most common approach for collecting tolls was to have the driver stop and pay a tool collector sitting in a tollbooth. The toll collector determines the amount to be paid by each vehicle based upon its characteristics or classification. Manual collection can accept cash, checks, or even leave it as a credit/debit.

The appropriate combination of technology and operational procedures is needed to meet the functional requirements of the emerging tolling program. Furthermore, the combination also must provide a path for migration a single facility to multiple facilities, and be able to evolve along with changes in technology.

The toll must be determined, and the fees clearly conveyed to the user. Traditionally, tolls are fixed amount based upon vehicle characteristics such as number of axles. Tolls can be assessed at a point on a road, or based upon the distance traveled. Advancing in the conditions monitoring not allow toll rates to vary based on the level of congestion. In its basic form, a vehicle passing through a toll collection point has identification device, especially, the barcode scanner. Toll collection can involve a direct cash transfer at a toll booth. Other way, it is necessary to insure the correct toll is collected, and that user and collector fraud is discouraged.

Project Context

Our city is soon going to have one of the country’s most extensive Bus terminal networks through various phases of the Bus Terminal Development Project planned by the Government. This project is being financed largely through subscriber fees collected from subscribers at tool points improved bus terminals.

As the volume of the traffic increases, the current method on manual toll collection, with or without using computer generated receipts, becomes inefficient, prone to leakage and difficult to sustain. With an aim to plan for implementing bus terminal toll management system and will recommend the most suitable technology for this local condition. The system will enable the user to avoid delay.

Purpose and Description

The terminal is new to the city so it does not use any system and is currently not using any technology. It only uses paper, log books and pen to record the information of the vehicle. The problem with the terminal that has no system is that the records can be misplaced because it is only recorded on log books. Also, the terminal does not have the records of the plate numbers of the vehicles that enters the said establishment. Information can be manipulated due to unsecured method that is being done through pen and paper only. Logbooks are not that secured for it could be misplaced or damaged because it is a concrete document.

The toll management system will be develop to help terminal management in their operation to be made smoother. It is a technology that allows for electronic payment of tolls. And with the help of this system can determine whether a passing car is registered, automatically charging those vehicles, and alert the local highway patrol about the passers that not registered. However, not all toll ways users are equipped with the necessary on-board devices to enable the Bus Terminal Toll Management System.

The system feature the following Automatic Boom Barrier which will served as the barriers for the passing cars while paying for their toll. The camera, which will take a picture of the passing car, the barcode scanner which will scan the barcode of the car, to know the classification, and to determine if the car is registered. Traffic light which will signal the car to go or to stop. A LCD display is used here to give the output amount. Printer to print the receipt the hardware part of the system covers the whole electrical system and a hardware installation.

Objectives

General Objective

To monitor the movement of vehicles that goes in and out of the terminal and generates the daily, weekly, monthly and annual income. And to provide technology to terminal operators.

Specific Objectives

  • To be familiar with the vehicle movement inside the terminal
  • To track whether the vehicle route is city bound or out bound vehicle
  • To determine the number of vehicles that enters the terminal
  • To determine the toll fee that should be charged to the vehicle that enters the terminal.
  • To generate a report by vehicle type
  • To generate a report on vehicles by owner/company
  • To help the government in reducing the number of unregistered cars.
  • To give accurate data as well as saves the license vehicle to recognize unwanted vehicles.

Scope and Limitation

This research concentrates only on the manual technique of monitoring the daily income that the terminal has generated through the entry of each vehicle. Many circumstances have been considered by the group such as improper count of the daily income and wrong information of an individual vehicle. The focus of this research is on the public utility vehicles that enters the terminal.

The research of the group focused on the difficulties with regards on how the terminal generates its income every day. This system could count the number of vehicles that enters the terminal. In addition, it limits only on the monitoring of the movement inside the terminal such as the number of the vehicles entered the terminal on a specific date and the amount of toll fee generated by a specific employee.

System Design

This portion describes the existing system, the developed system, screen forms and report layouts of the developed system.

The Existing System. The existing system for processing and issuance of grades is paper-based and student grade report cannot be generated instantly. Documents are stored in folders and in filing cabinets. Storing of paper documents gets very voluminous.

The researchers present the context diagram and the decomposition diagram of the existing system which shows the procedures of each function, the users and the expected outputs of the existing system.

There are four (4) components in the existing system. These are the Student Registration Process; Grade Sheet Process, Filing System Process, and Student Report Card Process. These are presented in Figure 2.

On Student Registration – Upon enrolment to the school, students are required to fill in a student registration form to gather information from student such as personal data, addresses, and important information.

On Grade Sheet – After each term grade sheets are printed by the registrar’s office and are given to the teachers. The teachers will fill in the grade sheets, verify it, and submit it to the registrar’s office.

On Filing System – After the grade sheets are submitted to the registrar office, they are sorted according to semester, school year, and department and placed in folders.

On Student Report Card – The students will then present their prospectus and/or school ID to the registrar staff, the registrar staff will process the request by searching and locating the grade sheets submitted by the teachers and writes the grades in the student’s prospectus or student report card.

The researchers have observed that the need to automate the record keeping process of the registrar office will have a great impact in modernizing their facilities specifically in record keeping and grade issuance.  Through the implementation of the developed system, they can be assured of an improved and systematic searching, recording, and releasing of student grades.  Fast, accurate and reliable services will be offered to the community, accessible and relevant information for the Administrators.

The Developed System. This portion presents the context diagram, data flow diagram, database schema, and project dictionary of the developed software.

The Registrar Grade Record Management System developed by the researchers will not only provide the institution computer-based software but also to introduce the technology that will benefit not only the students and parents but also the school administrators.

The Registrar Grade Record Management System offers several benefits, such as: reliable and complete information; easily accessible and accurate student record reports; high quality information; reduces errors in the result; produces output in greater quantities and of better quality; and provides an electronic tool that is user friendly and easy to use.  The developed system also provides an information back-up to prevent computer crimes and file corruption.

In the Level 2 DFD Explosion of Database Maintenance as presented in the image above, the System admin and Registrar’s Office staff have access to this feature. The system admin can add, edit, and delete user’s account and is in-charge of backing-up the system. The Registrar’s Office staff can update subject information, course information, and year level information.

Network Architecture. The system shall be installed in the main server employing the star topology and adapts a Local area Network (LAN) connection specifically in the ICT Department. Hubs will be used for network connections. The hub is a device wherein many computers can connect to a server for sharing of data and information and it connects computers within the limited area only. A back-up server will be provided to assist the main server in-case the main server bug downs.

Authorized registrar’s office staff can utilize the ASRS through the school’s Intranet. The developed system can be accessed by Faculty members in their respective departments where one (1) computer unit was installed.

It can include punched cards, optical scan voting systems and specialized voting kiosks (including self-contained direct-recording electronic voting systems, or DRE). It can also involve transmission of ballots and votes via telephones, private computer networks, or the Internet. Electronic voting technology can speed the counting of ballots and can facilitate electoral fraud.

The advantages of an electronic voting system can be divided into advantages for the voters and advantages for the authorities. Advantages of electronic voting for the voters includes: electronic voting speeds up the voting process and increase the security and reliability of elections where electronic vote is transported safely, reliably and fast into the centralized electronic ballot box. Direct Recording Electronic voting

Haupt (2008) described a different voting process that could be considered “electronic voting”. According to Haupt there exists a paper based system that uses computers to count the actual ballots; however the original paper ballot is still intact. Direct Recording Electronic (DRE) voting is a voting machine that does not use a paper ballot like the paper based electronic voting machines. Instead, people choose their candidates and proposals through an electronic screen, either through buttons or through a more modern approach, touch screen. DRE voting machines also have the advantage of never running out of paper ballots at a polling center, since the computer can count an unlimited number of ballots.

The Voting Process

On February 25, UP Diliman(UPD) held its first campus-wide computerized University Student Council (USC) elections. The open source voting system, called “Halalan”, was created by the UP Linux Users Group (UnPLUG), a student organization at the College of Engineering (CoE). The colleges provided the computers for the elections. The voting process started with students presenting their IDs or Form-5s to attending poll clerks, who checked the list of valid voters. Students on the list then received their passwords from the poll clerks and proceeded to unoccupied voting stations. Using their student numbers and the passwords provided as login information, they opened their electronic ballots and marked the boxes of their chosen candidates. Once they clicked the confirm button, their votes were final and they were automatically logged out. The system allows voters to log in again but only to check their votes, not change them. The first working prototype of Halalan was created in January 2005 and presented to UPD student councils and student publications later that month at the Palma Hall Lobby. Its first application in the USC elections was at the CoE and the School of Statistics in 2007. A year later, the College of Business Administration, the College of Mass Communication, and the School of Library and Information Science also adopted the system.

Synthesis

The lists benefits or advantages of electronic voting system to the voters and administrators are relevant the the researchers in the conduct of the present capstone project because these serve as bases in the major concerns of the study, particularly in the features that should be included in the development of the Web Based Voting System, and also in the implementation of the system. While the related studies/systems serve as basis of the researchers about the systems that were developed that has relation to the proposed project.

This article will provide you with a sample abstract, summary of findings, conclusions and recommendations of the study for Grade Management System.

ABSTRACT

Generally, the aim of the study is to develop a Student Grade Management System that will promote awareness and transparency for the students, faculty, and school administrators in order to help improve in monitoring of the students’ academic performances. The modified waterfall approach was used in the design and development of Grade Management System utilizing a validated survey questionnaire to determine the end user requirements for the system. The system also underwent a series of evaluation to check as to whether it adheres to software quality standards using the criteria set forth by McCalls. Likewise, a User Acceptance Testing (UAT) was also conducted to determine the system’s acceptability based on the variables under studied and the end-user requirements. There was an evident need to develop the student grade management system based on the data gathered from the three different survey instruments such as: Importance of Grade Issuance to Students; Experiences of Faculty When Computing, Writing and Managing of Students Grades; and the Extent on the Need for the Development of Grade Management System.

Findings shows that respondents answered the “strongly agree” for the 10 issues raised regarding on the Importance of grade issuance to students.  For the difficulties encountered by the teacher, the interpreted results were often, sometimes, and always which implies that the IT faculty have really experienced difficulties in the management of their students’ grades. Finally, results of the study revealed that the respondents have strongly agreed that there is a need for the development of the Student Grade Management System. Based from the findings, the researchers conclude that it is very important for the students to be informed of their grades, and to determine the status of their academic performances on their subjects per term.  Also, teachers have experienced some difficulties when computing, writing and managing their student’s grades. And lastly, respondents wanted to enhance the system that is a user friendly, ensure speed, accuracy and efficiency for the student grade management. The researchers recommend to the school to implement the developed system in order to solve the grade transparency problem which was experienced by the students and thereby promote grade awareness in the school.

Summary

The Grade Management System is software that will manage the students’ grade of students. The objective of the study is to give solution to the grade transparency problem of students and make them aware of their academic performances. In developing the software the researchers conducted a survey to get the system requirements and to find out if there is really a need of developing a student grade management system. The respondents were students and teachers of the computer related courses. The result of the survey is very high showing that there is really grade transparency problem to be solved. With the survey result showing that there is high percentage of students and teachers who strongly agreed that there will be development of Student Grade Management System, the researchers continue the study to help the department in its grade management records and make the students get aware of their grades.

After the researches got the system requirements using survey questionnaire, the system design was made immediately. The researchers used the PHP and MySQL as the backend of the system and Bootstrap as its front or Graphical User Interface (GUI). After the system development, the researchers conducted a User Acceptance Testing (UAT) to determine the acceptability of the proposed system in terms of its Information in the Program, Ease of Use, User Interface, Speed, Accuracy and Security. In general the mean interpretation was “strongly agree” which showed that the proposed system was accepted.

Based on the findings, the researchers conclude that the proposed system adequately met its objectives and that was accepted by the intended users in all terms of its functionalities. And therefore, the researchers recommend to the school to adopt and implement the Student Grade Management System in order to promote grade awareness and thereby improve the school’s grade management system.

Conclusion

The development of the Grade Management System is based to the situation of the present system, with the result of the survey showing high percentage of problem. Therefore the researchers conclude that there is really a need to develop the system of IT Department. With the User Acceptance Testing (UAT) conducted with the general mean of 4.56 which was interpreted as “strongly agree”, the researchers induce that the following notion with regards to its objectives were being met:

  1. The Grade Management System is acceptable with regards to speed.
  2. The Grade Management System is acceptable with regards to security.
  3. The Grade Management System is acceptable with regards to accuracy.
  4. The Grade Management System is acceptable with regards to efficiency.
  5. The Grade Management System is acceptable with regards to consistency

Recommendation

Grade management system is specifically for IT department which helps in students’ grade transparency. We recommend to the school to implement the developed system in order to solve the grade transparency problem which was experienced by the students as being discussed in the previous chapters of the research. The possible administrator of the system must be the chairperson of the department to make sure that the person with full access to the system is creditable enough to hold its overall information. The possible location for the system implementation should be in the ICT office where there could be software compatibility or it could be implemented in every school’s department and provided just at least one stand-alone computer unit.  It is further recommended to train possible users of the system for its maximum efficiency.

Recommendations to the future researchers:

  1. The future researchers may conduct studies in the other departments regarding grade management.
  2. They could also make a registrar automated grade issuance for wider scope that may help in the school’s success.
  3. They may also use the student grade management system and integrate it to the registrar’s grade issuance for the betterment of the software.

ABSTRACT

The study conducted was on the proposed “Hotel Reservation System”. The main purpose of this study was to create a program that will automate the current system used by the hotel. The researchers used the descriptive type of survey methods where they distributed questionnaires to the respondent of the study as a research instrument for data gathering.

The result of the study were the basis in coming up with program that is more convenient compared to the old system of the hotel.

The reliability and assurance of the functionality of the proposed program, it was already tested and checked by the adviser and carefully judged by the panel of judges. The researchers have done their best to make the program better. This will contribute for the betterment of hotel transactions.

SUMMARY OF FINDINGS

After systematic analysis and interpretation of data, the researchers presented the following findings:

  1. Hotels encountered difficulties in their manual reservation system. The extent of difficulties in retrieving data was moderate. In addition, the extent of difficulties in keeping the different transaction records, data and reports of their booking system was moderate. Moreover, the extent of difficulties in inputting of data, records, reports and transaction was moderate. And the extent of difficulties in the security of files and other records was moderate. Furthermore, the extent of difficulties in checking-in of costumers was moderate. Also the extent difficulty in check-out system of the costumers in their booking system was moderate. Additionally, the extent difficulty in issuance of customer’s bill in their booking system was moderate.
  2. Hotels encountered the performances in their manual reservation system. In security, the performance in retrieving of records and other transactions of their present booking system was fair. In addition, the performance in keeping all the record lists of their booking system was fair. Furthermore, the performance in services of their booking system was fair. Moreover, the performance in inputting of data, records, reports and transactions of their booking system was fair. In accuracy, the performances in terms of retrieving of records and other transactions, keeping all the record lists, services, inputting of data, records, reports and transactions were all fair. In speed, the performances in terms of retrieving of records and other transactions, services, inputting of data, records, reports and transactions were fair and the performance of keeping all the record lists was good.
  3. Hotels had the urgency to propose an automated reservation system. The majority of the respondents wanted the urgency of an automated booking system.

CONCLUSIONS

After logical analysis and interpretation of data, these are the conclusions that can be drawn from the findings of the study:

  1. All the difficulties encountered by the employees in the hotel were rated as moderately extent which means that they don’t usually encountered such problems.
  2. In the security, accuracy, and speed they rated it fair, which means, that they have to improve their manual performances into faster and effective way.
  3. In terms of urgency of an automated booking system, majority of the respondents answered it yes, because they observed and realized that they need more reliable, efficient, and helpful system.

Features:

This system can help to provide convenient way of entering customer’s data without any delay.  It can have a more secure and private records or files from customers.

  1. Encoding of User and their Privileges. Allows creation of user and administrative account to ensure the security of the system.
  2. Encoding of Customer’s Information. The system accepts the customers’ information that is encoded.
  3. Generate Billing. The system automatically generates customer’s bill from previous transactions.
  4. Income statement. The system updates the income of the hotel and records automatically the result of the transactions made.
  5. Confirms and cancel reservation. The system will accept incoming reservation requests personally or through telephone and will cancel requests if the customer tells to do so.
  6. Settings for the price of exceed persons. The system provides settings for inputting price for exceeds person and will automatically update the changes made.

Introduction

Management Information System or MIS is a term used to describe a computer based solution which consists of a hardware and software component.

Automation plays an important role in any type of business. This will convert a complicated process into a straightforward operation that will aid in management decision making.

Veterinary and Pet Shop Management Information System is an online platform that will automate every transactions including the appointment scheduling, laboratory test, clients and pet information and many more.

PHP and MySQL will be used in the Backend development while the developers will use the Bootstrap Framework for the user interface of the application.

The current setup is being done manually; records management, appointment scheduling and other transactions are based on pen, paper and folder methods, in line with those problems, efficiency of outputs are also affected.

With the citation of the problems encountered in the manual setup of business, the researchers and developers decided to create an information system that will replace the manual method of records management.

Objectives of the Study

The main objective of Online Veterinary and Pet Shop Management Information System is to design and develop an online application to counter and eliminate problems encountered in the current manual operation of the business

Specifically, the project will aim for the following objectives:

  1. To establish and develop an online platform that will allow the customers to set an appointment with the veterinary.
  2. To provide an information system that will help pet owners to know the basics on how to take good care of their pets.
  3. To provide an online catalog to display the products and accessories available in the pet shop
  4. To provide an efficient way of storing, archiving and updating of records.

Client/Pet Owner Registration – this module will store the information of the pet owners (name, contact, address)

Pet Registration – stores information of pet/animal (animal name, type of animal, breed, etc)

Appointment Scheduling – sets an appointment and schedule of consultation and check-up (date of appointment, message and details)

Invoice Creation and Payment – the module that will generate invoice for the customers and to record the payment as well.

Product Management – the module that will allow the user to encode the products and accessories that is available in the store and can be accessed by the customers in the catalog section of the web application.

The following were the software used for the development and for the implementation of the system.

Microsoft Visual Basic – Was the chosen programming language for software development primarily because it is an ideal programming language for developing sophisticated professional applications for Microsoft Windows. It makes use of Graphical User Interface for creating robust and powerful applications. The Graphical User Interface as the name suggests, uses illustrations for text, which enable users to interact with an application. This feature makes it easier to comprehend things in a quicker and easier way.

Crystal Reports 10 – Provides a relatively easy way to incorporate reporting into your application. The basis of a report is a database query.

MySQL ODBC Connector – is a driver for connecting to a MySQL database server through the Open Database Connectivity (ODBC)

MySQL – Is a Relational Database Management System (RDBMS) that runs as a server providing multi-user access to a number of databases.

Codejock – Provides reusable software components that enhance the Graphical User Interface of Windows Desktop Applications.

System Development Life Cycle Model

The waterfall model is a sequential, software development process, in which progress is seen as flowing steadily downwards (like waterfall) through the phases of System Requirements, System Design, System Implementation, System Verification and  System Maintenance.

Conclusions

The main goal of academic institution is to provide a good quality of teaching and to provide good service to the students. As the results of the study showed that the developed Students’ Profiling System met the need of the respondents and its intended users. It only shows that the majority of the respondents and its intended users find that the manual managing and updating all college students’ profile needs to be enhanced.

Hence, the researchers concluded that the implementation of Student Information System will provide an effective way of managing and keeping of all the students’ confidential record such as identifiable information and offenses in Guidance Office.

Recommendations

The implementation of Student Information System is highly recommended by the researchers in order to have an easy way of updating and having a secured keeping of all college students’ profile in Guidance Office every enrollment. The intended users should have enough knowledge on how the developed system is going to work.

The following recommendations are:

  1. There is a need to implement the Student Information System to enhance the managing of record of all college students.
  2. Student Information System ensures that all students record will be keep safe and secured.
  3. Student Information System must be installed in the Guidance Office for it will be a big help to the Guidance Office Personnel in managing and updating students’ confidential record.

ABSTRACT

The study was conducted to assess the methods and processes used by the Registrar’s Office in keeping the student records. The problems encountered by the students and instructors with regards to security of the student records from alteration or loss, submitting error-free grade sheets from the faculty, and requesting student grades at the end of the semester on the current registrar system and the level of need for developing an Student Record Management System for college were determined. The Student Record Management System that is accurate, fast, and accessible for the registrar’s office of the college will facilitate the record – keeping and issuance of grades; it will also provide smooth operation and can help the office to be more efficient.

The respondents of the study were forty seven faculty and two registrar staff of the college, with the total of 51. Descriptive research was used in gathering important information and specific data that are useful in the study.

The over-all mean score obtained was 4.24, which is interpreted as very good. The over-all mean score implies that the respondents were satisfied with the usability, content, and design of the Student Records Management System for college. The features integrated in the system made it user-friendly and helpful to the registrar, department chairman, faculty, and to the students as well.

The results of the study showed that majority of the respondents identified that there is a high level of acceptability of the software or the system developed by the researcher’s entitled Student Records Management System for college.

The researchers concluded that the use of current Registrar System or manual procedures in the registrar’s office do not provide speedy, accurate, and effective result. It was also identified that majority of the respondents readily accepted the Student Records Management System.

The researchers’ recommended the use of the Student Records Management System in facilitating the record – keeping and issuance of grades for the Registrar’s Office of college.

SUMMARY, CONCLUSION AND RECOMMENDATION

This chapter presents the summary, conclusion and recommendation based on the findings of the study.

Summary

After conducting the research, the data gathered which includes the research method used; the respondents, the research instrument and the statistical tool used were summarized. The findings of the study were also presented in this section.

The study deals with the development of an automated student record system for college level. The objective of the study is to develop an automated student record system that is accurate, fast and accessible. The study aimed to: 1.) Minimize the manual system in record keeping and issuance of student’s grades. 2.) Eliminate the lag time between the submission of grades by the subject teachers and the department head to the registrar, thus preventing of delay in submission and issuance of grades.  3.)  Provide a system that can be used by the faculty, department head and the registrar’s personnel. 4.) to develop a record services using database system in storing student grades. The study was conducted to assess the registrar keeping the records of the students in the college level, the current methods and processes used by the registrar in keeping the records of the students, and the problems encountered by the students, faculty, as well as, the registrar with regards to the need in securing student’s grades and grade reports from alteration or loss, issuance of grades at the end of the semester, and submitting error-free grades by the faculty.

This study aimed to help the registrar’s office to the problems in record keeping, issuance of grades to the students, and submitting on time and error-free grades of the faculty.

Descriptive survey method of research was used in this study and questionnaires were prepared for data gathering. The survey questionnaires were distributed to actual respondents.

The total respondents of the study were one thousand seven hundred thirty five (1,738) and the sample size is three hundred thirty two (332) was determined using the Slovin’s formula. The students of the college were grouped by course and by year level. Stratified random sampling technique was utilized.

The developed system was evaluated by three technical experts namely:  The evaluation was based on the criteria on System Evaluation Instrument by using the McCall’s Software Quality Model which determined the quality of the software being developed. The evaluators had given the software a rating of 4.24, which was descriptively interpreted as very good.

Final testing was conducted by intended users of the developed system. The user acceptance grand mean score is 4.36, which was interpreted as excellent. Therefore, the developed software passed as a good quality software  and the objective of the researchers have been achieved that is to developed Student Records Management System that is that is accurate, fast, and accessible.

Conclusion        

The following conclusions were made after conducting a thorough investigation and gathering of data:

  1. The respondents of the study encountered a high degree of difficulty on the existing system, which is relevant to the researchers of the study. This indicates that the respondents experienced problems in securing students records, searching and retrieving student grades, the use of manual procedures by the Registrar’s Office in keeping the students record are not secured from alteration or loss, and the students encountered problems in requesting grades at the registrar’s office and as well as, the faculty in submitting error-free grade sheets.
  2. The extent of need of the respondents in the development of Student Records Management System is very often needed which shows that the respondents needed the developed system in the record services and the development of Student Records Management System is highly recommended.
  3. Important features should be included in the development of the system such as login.logout, grade sheets, reports, database maintenance, and help assistant.
  4. Majority of the respondents prefer to change the current registrar system for accurate, fast, and accessible for the students, faculty, department chairman, and the registrar itself.
  5. The Automated Student Record System is the possible solution to the problems in grade issuance, securing student’s grades from alteration or loss, in submitting error-free grades sheets by the faculty, and to maintain relevant, accurate, and confidential student’s record.
  6. The use of Automated Student Record System of the Northern Negros State College of Science and Technology was readily accepted by the respondents.
  7. The objective of the study had been achieved, that is to develop an automated student record system for college level that is fast, accurate, and accessible.

Recommendations

Below are the researchers’ recommendations based on the findings and conclusions of the study:

  1. In order to attain accurate, fast, and accessible registrar system, the current manual system must be replaced by the automated one.
  2. The registrar staff, department chairman and the faculty should be trained on how to use the Student Records Management System.
  3. In order to have an organized Student Record System the registrar should use an Student Records Management System.
  4. In order to avoid log time in submission of grades by the faculty, problems in requesting student’s grades, and to secure grades from alteration or loss, the Student Records Management System is highly recommended.
